The SPYHA Annual Meeting will be held on Sunday, June 25, 2023 beginning at 6:00 pm Central Time. It will be held in the old pro shop at the far end of Tubbs Rink.
Elections
During the Annual Meeting, we will provide general updates to the association and elect Board Members.
Parent(s), legal guardian(s) and/or foster parent(s) of youth participating in the SPYHA programs, who are in good standing, have the right to attend and vote at the annual meeting.
Alumni or alumni parents of SPYHA, SPYHA employees, and current or past coaches or Board members of SPYHA, are also eligible to attend and vote.
Anyone questioning their eligibility should email ecomm@spyha.com before June 23, 2023.
The following positions will be up for election at the meeting:
President Elect (three-year term)
Treasurer (two-year term)
Coaches' Rep (one-year term)
Mini-Mite Rep (one-year term)
Mite Rep (one-year term)
Squirt Rep (one-year term)
PeeWee Rep (one-year term)
Bantam Rep (one-year term)
Midget Rep (one-year term)
ACE Director (Travel) (one-year term)
ADM Director (non-Travel) (one-year term)
Terms
Each officer will serve a term of two years except the President Elect, who will serve for one year as President Elect, serve the following year as President, and then serve as Immediate Past President.
Age Level Reps and the Coaches’ Representative will be elected for a term of one year.
Position Descriptions
The Executive Committee shall consist of the President, President Elect, Immediate Past President, Secretary, and Treasurer. In addition to the items below, each member of the Executive Committee will be responsible for working with multiple Volunteer Committees (equipment, concessions, raffle, etc.) to ensure successful communication and workflow.
President Elect
The principal duties of the President Elect shall be to serve on the Executive Committee, to prepare and to become President in the succeeding year, to perform the duties of the President in his/her absence, including but not limited to presiding over special and regular meetings and to perform any other duties as deemed necessary by SPYHA policies or the Board of Directors.
Secretary
The principal duties of the Secretary shall be to countersign all conveyances, assignments and contracts executed by the corporation, and to keep a record of the proceedings of the members, the Board of Directors, and the Executive Committee, and to safely and systematically keep all books, papers, records, and documents belonging to the corporation, or pertaining to the business thereof. The Secretary shall handle all correspondence pertaining to the corporation’s business as so directed by the Board of Directors. Other minutes and records shall be the responsibility of the secretary, and a record of their location or locations shall be maintained by the Secretary and at all times made available for inspection by any member or his agent or attorney for any proper purpose at any reasonable time.
Treasurer
The principal duties of the Treasurer shall be to keep account of all monies, credit and property, of any and every nature of the corporation, which shall come into his hands and keep an accurate account of monies received and disbursed and keep vouchers for money disbursed, and to render such accounts, statements, and property on hand and generally all matters pertaining to his office as shall be required by the Board of Directors, and shall be present to the membership at the annual meeting an annualized profit and loss statement and a balance sheet. The Board of Directors may hire an independent certified public accountant to review the annual reports prior to the meeting. The general and principal books of accounts shall be the responsibility of the Treasurer, and a record of their location or locations shall be maintained by the Treasurer and at all time made available for inspection by any member, his agent, or his attorney, for any proper purpose at any reasonable time.
Coaches’ Representative Duties
The Coaches’ Representative works with the ACE Directors and coaches to ensure SPYHA’s programming needs and requirements are met. The Coaches’ Representative and ACE Directors provide recommendations to the Board regarding evaluation requirements and coaching staff. The Coaches’ Representative provides guidance on team rules and practice plans. The Coaches’ Representative and ACE Directors may also mitigate concerns between parents, players and coaches as necessary.
Age Level Reps
The age level representatives elected to the Board of Directors are expected to communicate and liaise with the families of the players they represent. They are a primary point of contact between members and the Board. In addition to regular Board meeting attendance, age level representatives are encouraged to lead or serve on at least one SPYHA committee or activity.

Anyone wishing to be nominated for an open position should email a short biography of experience to nominations@spyha.com. Nominations must be received by Thursday, September 22, 2023, at 5:00pm Central Time to be included on the website and ballot.
